As we expand, we are seeking a dedicated and detail-oriented Administration Officer to join our team.

Position Overview: This position plays a key role in ensuring that all air conditioning and refrigeration service requests are handled efficiently, from initial contact to job completion. This position involves managing schedules, dispatching technicians, coordinating with clients, and overseeing the day-to-day operations of service-related activities. The ideal candidate will have strong organizational skills, excellent communication abilities, and a background in HVAC/R operations.

Key Responsibilities:

  • Schedule Coordination: Organize and manage service appointments for air conditioning and refrigeration systems based on customer needs, technician availability, and priority.

  • Customer Communication: Serve as the main point of contact for customers, answering calls, responding to inquiries, and providing updates on service progress.

  • Dispatching Technicians: Efficiently dispatch technicians to jobs, ensuring that they are equipped with the necessary resources and information to complete service tasks. Knowledge of Brisbane and surrounds is required.

  • Job Documentation: Maintain accurate records of service requests, job details, and technician reports to ensure proper follow-up and compliance with company standards. General invoicing and day to day administration tasks.

  • Parts & Equipment Coordination: Work with suppliers to order necessary parts and equipment for scheduled services, ensuring technicians have the tools and equipment needed to complete their tasks.

  • Customer Service Excellence: Handle customer concerns and ensure a high level of satisfaction with the service provided. Escalate issues when necessary and ensure timely resolutions.

  • Team Collaboration: Collaborate closely with technicians, field staff, and management to ensure smooth workflow and service completion.

 Qualifications & experience

  • Experience in scheduling & coordinating is a MUST

  • Previous experience in Administration, Outlook, Excel, Simpro and MYOB are preferred

  • Previous experience with invoicing, quotes and daily administration duties.

  • Great at time & task management

  • Data entry with a strong attention to detail

  • Organised, friendly & have ability to stay calm under pressure

  • Monday to Friday 7.30am – 4.00pm
