Purpose of the Role

BGIS is seeking an experienced Facilities Coordinator to manage the delivery of facilities services across a portfolio of sites, ensuring contractual KPIs are met, financial targets are achieved, and exceptional client satisfaction is maintained. Reporting directly to the Account Manager , you will work collaboratively with both client and BGIS teams to drive operational excellence, compliance, and continuous improvement across day-to-day maintenance and service delivery.

The ideal candidate will be organised, customer-focused, and solutions-oriented, with excellent communication skills and the ability to thrive in a dynamic service-driven environment.

Key Responsibilities

Support the day-to-day operations and maintenance across a portfolio of sites, liaising with clients, vendors, and the BGIS Operations Centre

Manage, allocate, and monitor work orders daily via the CMMS and ensure service requests are actioned within KPI timeframes

Review, verify, and approve payment claims and resolve non-conformance issues as required

Facilitate reactive maintenance and minor works, ensuring adherence to scope and resource allocation

Foster positive client relationships through exceptional service delivery and proactive communication

Maintain compliance with BGIS systems including QMS, OH&S, and EMS requirements

Support sustainability initiatives and risk management activities, including hazard reporting and corrective action tracking

Participate in client meetings, prepare agendas and minutes, and maintain accurate records of communications and actions

Education, Experience & Skills

Essential:

Minimum 3 years' experience in Facilities Management or a related field

Proven experience working within integrated services, maintenance, or property management environments

Strong organisational, prioritisation, and time management skills

Knowledge of QA, OH&S, and environmental systems

Proficiency with Microsoft Office Suite (Word, Excel, Outlook)

Experience using a Computerised Maintenance Management System (CMMS)

Desirable:

Experience coordinating services across a portfolio of sites

Qualification in Building/Facilities Management, Project Management, or related discipline (TAFE, Tertiary, Property Council)

Workplace Flexibility

To support your growth, this position will initially be based on-site at our Sydney Head Office with a hybrid working arrangement available after an initial integration period.
